An event QR code contains a calendar entry. Scanning it offers to add the event (name, date, time, location and description) straight into the phone's calendar. No app, no “search for this event”, no typing.

Use it on party invitations, concert and theater posters, conference programs, wedding save-the-dates, and community notice boards.

Everything travels inside the code, title, date, time, location and description, so it works even with no internet connection at the moment of scanning, and nothing on your side can expire. That also makes a saved event a snapshot, so check the FAQ on changes below before printing for an event whose details are not final.

Printing an event QR code that works on the day

Fill in a clear title, the full start and end time, and a location people can actually navigate to, a street address scans into most calendars as a tappable map link, where a venue name alone often will not. Put the single most important fact in the title itself (“Spring Fair, Sat 14 June, 10am”) so it is readable even in a calendar's list view, and use the description for the details that do not fit, like parking, dress code or a contact number.

Because a saved event is a fixed copy, only print the code once the date, time and venue are final. If anything might still move, pair the event code with a URL QR code pointing to an event page you control, and tell people to check there for updates. Test the finished code by scanning it into both Apple and Google calendars: all-day events and time zones are where the two usually behave differently.

Which calendar apps does it work with?
It uses the standard iCalendar (VEVENT) format that Apple Calendar, Google Calendar, Outlook and most scanner apps recognize. iPhones add events straight from the camera scan.
How do all-day events work?
Tick “All-day” and pick the date: the event spans that day. If you set an end date, the event covers the whole range.
What about time zones?
Times are stored without a fixed zone, so they appear in the local time of the person scanning. For international events, mention the time zone in the event name or description (e.g. “18:00 CET”) so nobody gets confused.
Can I add reminders or invites?
The code carries the event basics; alarms and guest invites belong to the calendar app once the event is saved. Keep the code lean and it will scan fast.
Does the person get notified about changes?
No, a saved event is a copy. If details change, update your posters and point people to a page with current information (a URL QR code pairs well with event codes).
Can one code hold more than one event?
No, each event QR code holds a single calendar entry. For a multi-day programme or a recurring series, make one code per session, or use a URL QR code that links to a full schedule page where every event can be added individually.
